Privacy policy

How our QuickBooks connection handles your information.

Short version: we use your QuickBooks data only for the work you've engaged us to do, the app never deletes anything in your company, and you can disconnect it at any time.

Effective October 22, 2026.

This policy covers Foster, Griffith & Allen - Bookkeeping Connector, the app our staff use to connect to a client's QuickBooks Online company. Our website privacy policy covers the fgacpa.com website itself.

Who uses it

Only authorized firm staff use the app, and only for clients who have engaged the firm. It is not offered to the public.

What we access

With your authorization, the app reads your QuickBooks Online accounting data, such as accounts, transactions, customers, vendors, reports and attachments. It records bookkeeping entries only at the direction of our staff. The app never deletes records in your QuickBooks company.

How we use it

We use your QuickBooks data only to perform the services described in your engagement letter or other written agreement with the firm. We do not sell it, rent it, or use it for advertising.

AI assistance

Our staff use business-tier AI tools, such as Claude from Anthropic and Microsoft 365 Copilot, to review and prepare bookkeeping work, and QuickBooks data the app retrieves may be processed by these tools to complete your work. We use these tools only through business accounts whose terms prohibit the provider from using your data to train its AI models and require it to keep your data confidential. AI handles the mechanical work; judgment and responsibility stay with our professionals.

Who handles it on our behalf

Your QuickBooks data stays in your QuickBooks Online company, which Intuit operates under its own terms with you. When the app retrieves data to complete your work, it is processed by our AI providers as described above. Our providers maintain independent security attestations, such as SOC 2 Type II and ISO/IEC 27001. They store data in the United States but may process it in other countries where they or their subprocessors operate.

How we protect it

Your QuickBooks sign-in authorization is stored encrypted and is used only by the app. Work papers, reports and an activity log of every change the app makes are kept in the firm's secure document management system and retained under our record-retention policy. Taxpayer identification numbers and full bank or card numbers are masked in the app's results and logs.

Disconnecting

You can disconnect the app at any time in your QuickBooks Online company, in the section that lists connected apps. You can also ask us to disconnect it. Disconnecting stops all further access; records we already prepared for your engagement are kept as described above.

Changes to this policy

If we make a material change to how the app handles your information, we'll post it on this page and update the effective date at the top.
